Meeting room and audiovisual renting

Equipping meeting rooms is a concentrated investment: it happens all at once, costs a lot, and the benefit is spread over years. It is exactly the kind of expense renting handles best.

  • Per room an identifiable monthly cost
  • Installation included in the contract
  • 48 months is the typical term

A cost per room, not a project

When a company equips six rooms at once, the investment easily exceeds €20,000 and becomes a board decision. Spread into a rent per room per month, it becomes a running cost line the facilities manager approves without going up the hierarchy.

It is the same expense. What changes is how the organisation decides on it, and that is what makes the project happen this year instead of next.

  • Professional and interactive displays
  • Video bars and conferencing systems certified for Teams and Zoom
  • Ceiling microphones, speakers and audio processing
  • Mounts, cabling, controls and installation

Frequently asked questions

Can installation and mounting go into the rent?

Yes, and they should: they are part of the real cost of the room. As with any deal, the services component cannot dominate the financed amount, but in meeting rooms the usual proportion raises no issues.

What if we move premises in the middle of the contract?

The equipment goes with the company; the change of address has to be notified to the funder and dismantling and reinstallation contracted separately. It is worth allowing for that cost if a move is already on the horizon.
