Printing is the only IT equipment where the cost of consumables far exceeds the cost of the device. That is why the right contract is not the one with the lowest rent, it is the one with the most honest cost per page and a well-sized included volume.

Where these contracts go wrong
Almost always in the same place: the monthly volume included is undersized in the quote so that the rent looks competitive, and the company ends up paying for excess pages every month for four years. The bill only shows up on the invoice, never in the quote.
Before comparing quotes, pull the meter report from the current machines and take the real volume of the last twelve months. It is the only number that prevents this mistake. If there is no history, contract a conservative volume and review it after six months.

- Confirm the support response time and whether parts are included
Equipment renting or a print contract
They are different things and it is worth separating them. Renting finances the equipment; the print contract covers consumables, support and volume. They can come from the same supplier or from different suppliers, and the integrated solution is not always the cheapest.
When the fleet is large, comparing the two parts separately usually reveals relevant differences. It is the exercise we do in the scenarios.

Frequently asked questions
Are toners included in the rent?
They usually go into the associated print contract, not into the equipment rent. That is why we insist on seeing both parts separately: a low rent with a high cost per page is often more expensive overall.
Can I include printers in the same contract as the computers?
Technically yes, but we rarely recommend it. The life cycles are different, five years for a multifunction device and three for a laptop, and putting them together forces you to renew everything at the same time or to keep equipment that should already have gone.
